CPE Data Guidelines - Facilities Utilization (Type U)
General Instructions
The Facilities Utilization Report captures classroom and laboratory usage for the fall semester only. Institutions should report utilization data only for classes listed on the fall enrollment file that meet in rooms classified with use codes 110 (Classroom) or 210 (Instructional Laboratory). Do not include utilization data for classes without a scheduled room (such as “by arrangement” or “to be arranged”) or for classes held in rooms with other use codes—Columns 50–78 should be left blank in these cases. Additionally, zero-credit hour laboratories must be reported if they take place in a 110 or 210-coded room and are excluded from the enrollment file due to sharing the same course ID as an associated lecture.

Required Data Elements
Course Location: Institutions must report the Campus, Building Number, and Room Number for each applicable class. The codes used must match the institution’s Physical Facilities Inventory. It is the institution’s responsibility to ensure that the inventory is up to date prior to submitting the utilization file. Location data should only be reported for courses held in rooms coded as 110 or 210.
Course Schedule (Days Met): The course schedule should be reported only for classes meeting in rooms coded 110 or 210. Use Columns 62–68 to indicate the days a class meets:
- Consistent weekly schedules - If a class meets on the same days each week, represent each day with its corresponding
initial and leave other positions blank.
Example: A class meeting on Monday, Wednesday, and Friday would be coded as: bMbWbFb (b = blank). - Alternating (two-week) schedules - If the meeting pattern alternates by week, use the following codes:
- 1 = Class meets on that day during Week 1 only
- 2 = Class meets on that day during Week 2 only
- 3 = Class meets on that day both weeks
Example: A class that meets MWF in Week 1 and MW in Week 2 should be coded as: b3b3b1b.
Classes Spanning Multiple Semesters - If a class extends across two semesters:
- First semester: Report all required data as usual, indicating full-semester duration.
- Second semester: Submit a full record, but enter "000" in the Number of Students field (Columns 37–39) and "**" in the Continuation Field (Columns 77–78).
Shared Instructional Use
- Host Institution: If your institution’s classrooms or laboratories are used by another institution for
instructional purposes:
- Submit a separate utilization record following the Type U layout.
- Do not report these students on the Type 1–3 enrollment records.
- In Columns 79–86, provide the FICE Code of the instructing institution.
- Instructing Institution: If your institution is delivering instruction at another institution’s campus:
- Report enrolled students using the Type 1–3 enrollment records.
- Do not submit a utilization (Type U) record for these courses.
Room Number Formatting
- Column 107 is reserved for a room’s letter designation (e.g., Room 101A).
- If no letter designation exists, leave Column 107 blank.
- Right-justify the room number so that the final digit appears in Column 106.
